Position Overview:
As the Receptionist, you will be the first point of contact for clients, visitors, and callers. Your warm and professional demeanor will help create a positive experience for everyone who interacts with our agency. You will manage front desk operations, assist with administrative tasks, and support our insurance agents and staff to ensure smooth day-to-day office functioning.
Key Responsibilities:
- Greet and welcome clients and visitors in a friendly and professional manner
- Answer and direct incoming phone calls promptly and courteously
- Manage scheduling of appointments and maintain calendars for insurance agents
- Handle incoming and outgoing mail, emails, and deliveries
- Maintain a clean, organized, and inviting reception area
- Assist with data entry, filing, and other administrative tasks as needed
- Provide basic information about insurance products and services or direct inquiries to the appropriate staff member
- Support the team with document preparation and client communication
Qualifications:
- Previous receptionist, administrative assistant, or customer service experience preferred
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Professional appearance and friendly demeanor
- Ability to multitask and manage time efficiently in a fast-paced environment
- Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software
- Basic knowledge of the insurance industry is a plus but not required
- Reliable, punctual, and team-oriented
- Bilingual in Spanish a plus
